How One Simple System Helped Me Master Content Batching Without Burning Out

If you're overwhelmed by content planning and feel like you're always behind, just know: you’re not the only one. I used to be that business owner who had all the systems down for my clients, but when it came to my own brand? Crickets.
Let me break down how I went from last-minute posts and content burnout to a simple, repeatable system that actually works, and why Metricool ended up being my secret weapon.
Simple System: From Chaos to Clarity
Before Metricool, I was using Buffer. No shade it’s a solid tool. But as a startup trying to grow my brand and post across multiple platforms, it just wasn’t budget-friendly for what I needed. I couldn’t post to all my accounts without upgrading, and between client work, content creation, and keeping my own business visible, I was stretched thin.
Even though I knew how to batch, schedule, and strategize, I wasn’t doing it for myself. Sound familiar?
One day, I decided to take my own advice and treat myself like a client. That mindset shift changed everything.
The System That Clicked

Once I reframed my process, I realized I didn’t need ten different tools I just needed one that kept things simple.
That’s when I found Metricool. With Metricool, I can:
Schedule across all platforms in one place
Draft and store content in a visual calendar
Save content to a media library
Upload full batching templates (with captions, images, hashtags, and all)
My favorite feature? The batching CSV template. I use it every single month to plan both my content and my clients’. I create the full schedule in ChatGPT, drop it into Metricool’s CSV format, add my Google Drive links for images, and BOOM ready to go.
Pro tip: If you're using images, make sure they’re uploaded to Google Drive and properly linked in the CSV before importing to Metricool. It took me a minute to get it right, but now it’s quick and easy.

Tools I Use Alongside Metricool
Yes, Metricool is my go-to scheduler but I still use a few tools to bring it all together:
ChatGPT, Claude, and Perplexity – for brainstorming, captions, blog outlines, and email drafts
Notion – my main planning hub (customizable and easy to use)
Trello – my backup tool when I need a simple, visual board
Canva – all graphics and visuals
MidJourney & Sora – for creative visuals and AI-generated ideas
Google AI Studio – testing it out, but haven’t fully added it yet
Each tool serves its purpose. But I’ve learned not to depend on having all the things perfectly lined up. If something works, I use it. If it doesn’t, I let it go.
Monthly Batching Made Simple
These days, I batch monthly instead of weekly it saves time, brainpower, and lets me stay consistent across all platforms. My process looks like this:
Plan themes + captions in ChatGPT and Claude
Organize everything in Notion
Design graphics in Canva
Load the full batch into Metricool using the CSV template
It takes me about two focused days to plan and schedule a full month of content for both myself and my monthly clients. No more scrambling every week.
Real Talk for My Fellow Creatives
If you’re feeling overwhelmed by batching, start small. Do two weeks at a time. Focus on one platform. Or even just one content type, like blogs or Reels. The point is: you don’t have to do it all at once.
I made the mistake of chasing perfection thinking I needed flawless branding, fancy visuals, and the “perfect” system before I could be seen. That held me back.
But what matters most is showing up consistently and clearly. You know your stuff. Other people need what you know. And the only way they’ll find you is if you stop hiding behind the overwhelm and just start.
Final Word: Progress Over Perfection
It’s tempting to try every tool and system you see online (I’m guilty too I love a shiny new AI). But success doesn’t come from using everything. It comes from knowing what works for you and actually using it.
Master one thing at a time. Have fun with the rest. And if you’re working with clients, it’s great to know all the options, but you don’t need to use them all. Keep it simple. Keep it clear.
One foot in front of the other, bestie. Your system doesn’t have to be perfect it just has to get you moving.
